How the system works:

Register and pay a deposit Receive a link Upload Order conversions and deliveries

1. Signing on is simple and risk-free. This License Agreement outlines the terms of the service and spells out pricing in detail.

If you decide to proceed, go to this Registration page, complete the application form and accept the agreement.

2. A non-refundable deposit of $CAD 2,500 is required to initiate the service. Upon receipt of your application we will generate an invoice for this amount.

This deposit will be applied against conversion and delivery services ordered through the service under the terms outlined in the License Agreement.

(At the prices given in the agreement, this deposit will cover the conversion of 10 average-length titles to epub and uPDF and delivery to 6 distributors.)

3. Upon receipt of your payment, we will provide you with a branded QuickStart site as well as a secure ftp site for transfer of files.

4. Because new files/titles need to be associated with metadata, you will need to provide this. We recommend that you provide us with a current ONIX file. If ONIX is not available, a spreadsheet will suffice. We will assist you with populating the metadata on your site.

5. You may then begin to upload source files to the system. If you intend to upload multiple files, you may transfer them to your FTP site on our server and we will handle ingestion to the system.

6. You may upload your own epub and PDF to the system for distribution. In other words, conversion by codeMantra is not required for delivery. Or you may upload source and application files (PDF, Word, InDesign, Quark) from which you will order us to produce epub, XML and other formats.

Once a file is accepted by the system, the Home page will show the Formats/Assets which are associated with each title.

Order a conversion

Locate the source files using the Search functions, place the source files in the Book cart and choose the conversion formats required.

This will generate a price estimate and give you a chance to accept or cancel the order.

Set up a distribution partner

Use the Admin tab to enter the ftp and email information provided to you by the distributor when you establish your account. We will then set up the transfer arrangments needed to send files and metadata. After this step is complete, you may trigger deliveries to that account with a simple click.

Order a delivery

Search and place the files to be delivered in the Book Cart and follow instructions.

Business Rules

The system allows you to create preset Business Rules which you can apply to new titles being uploaded. This will streamline the process of ordering conversions or deliveries to multiple distributors.

Production tracking

After order placement, the system allows publishers to track production and place claims for any rework where required.

After the work is approved, invoicing is generated by the system. And an Activity Report provides full details of all transactions on the system.
